Who we are
Campus OS is provided by [TO CONFIRM: company legal name], a company registered in England and Wales (company number [TO CONFIRM: company number]) with its registered office at [TO CONFIRM: registered address]. We are registered with the Information Commissioner’s Office under number [TO CONFIRM: ICO registration number].
Questions about this notice or your data: [TO CONFIRM: privacy contact email].
Two roles: this website, and the Campus OS service
Our website. For this website, the demo requests and the newsletter, we decide how your personal data is used: we are the controller.
The service. Recruitment agencies use Campus OS to manage their enquiries, students, applications and partner universities. The agency decides what it records and why, so the agency is the controller and we process that data on its behalf under a written agreement. If you are a student, applicant or agent using an agency’s portal, the agency’s own privacy notice explains how it uses your data; please contact the agency first.
What we collect on this website
Demo requests: Your name, work email, agency name, number of branches and message, so we can arrange the walkthrough you asked for.
Newsletter: Your email address, to send the newsletter you signed up for.
Technical data: Standard server logs (IP address, browser, pages requested and time), kept to run and protect the site.
We do not use analytics, advertising or tracking cookies. See our cookie notice.
Why we use it, and our lawful basis
Replying to a demo request: our legitimate interest in answering enquiries about our product, or steps you ask us to take before a contract.
Sending the newsletter: your consent, which you can withdraw at any time from any issue.
Keeping the site secure and working: our legitimate interest in running a safe service.
Meeting legal obligations, such as tax and accounting records for customers.
Who we share it with
Service providers who act on our instructions: hosting [TO CONFIRM: hosting provider and region], email delivery (Resend) and, where an agency turns them on, SMS and WhatsApp delivery (Twilio or Esendex) and AI model providers (OpenAI or Google). We do not sell personal data.
International transfers
Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to protect it. [TO CONFIRM: list transfers once providers are final.]
How long we keep it
Demo requests: up to [TO CONFIRM: e.g. 24 months] after our last contact, unless you become a customer. Newsletter: until you unsubscribe. Server logs: up to [TO CONFIRM: e.g. 30 days].
Your rights
You can ask for a copy of your data, and ask us to correct it, delete it, restrict or object to its use, or move it to another provider. Where we rely on consent you can withdraw it at any time. Write to us at the contact above; we reply within one month.
If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to put things right first.
Security
Access to data in Campus OS is limited by role and branch, sensitive documents are stored privately, and changes are recorded in an audit log. No system is perfectly secure; if a breach affects you we will tell you as the law requires.
